Urgent Email Notice from the Tech Support Center

Required Switchover of Outlook Settings Needed to Continue to use CPSB Email

As you are probably aware, the CPSB network is undergoing a multi-year project to increase network security. This is being done to ensure the integrity of the devices and data on our network and bring it in line with industry and educational institution network standards.

As part of this process, we are increasing on the security that our email server uses to take internal emails sent from our users. This will help reduce spam generated by computers infected with viruses within system or other unauthorized email servers. To increase this security, it will require that any CPSB users currently using Outlook for their email to change their mail settings and if they are not using Outlook to start doing so. This switchover will occur on March 7, 2005. After that date, any Outlook email program not configured correctly will not be able to send email to the system email server.

Please review the following email situations to see what you need to do to ensure that you can continue to send email after March 7, 2005:

  • Web-Based Outlook on our website - you do NOT need to do anything. (That is, you click on the “Employee Email” link on the CPSB web page or use your browser to go to http://mail.cpsb.org
  • Microsoft Outlook (not Express) - you MUST change your email settings. To do this, please click on the link below that matches the version of Outlook that you use:
  • Microsoft Outlook Express - you MUST change your email client over to Microsoft Outlook as Express will no longer be compatible with our system. For instructions on how to setup Outlook, use the links below:
  • Apple Macintosh user and have been using Outlook Express to check your mail, at this time you MUST switch to using the web-based Outlook client on your computer.
  • If you are using a third party email program (ex. Incredimail), you MUST stop using that program and setup Outlook on your computer. We cannot offer any assistance with moving messages from these programs over to Outlook because these third party programs are not supported by the district. Follow the Outlook instructions shown above.

If you have trouble with the links above, you can also get to them by going to http://help.cpsb.org and clicking on the “Tech Guides” link and looking in the “Email (Microsoft Outlook)” section.

If you are having difficulty with setting up Outlook or making the mail settings change, you can ask for assistance from the tech contact person at your school or department. The contacts are aware of the situation and are ready to offer assistance. You can also contact the Help Desk at tech.help@cpsb.org for assistance as well.

Remember that the email security settings will be activated on March 7, 2005. If you have not made the needed changes by that date, your email program will no longer be able to send mail.

Is Your Hard Drive About to Crash???
This is ONLY concerning a Dell Computers. Dell computers use Self-Monitoring Analysis and Report (SMART) Technology. The SMART technology is designed to warn you when a disk drive has become unreliable.  If you receive a message similar to the one below, you may be able to get logged in to the computer to back up your data but this is not always the case. If you receive this SMART error message, back up your data if possible and bring the computer in for repair. 

Error Message:

  • SMART has detected a problem with a Hard Disk Drive
  • Back up data immediately
  • Contact your Help Desk or Tech Support Immediately

Louisiana Gumbo: A Recipe for Empowerment
Register Now! Workshop on teaching with primary sources using the LOUISiana Digital Library.

Louisiana Gumbo: A Recipe for Empowerment, is a grant funded by the Institute for Museum and Library Services which will digitize vintage jazz radio broadcasts, interviews and performances; musical instruments; Acadian textiles, costumes, flags, parade bulletins and posters; historical paintings and maps; photographs; documents; and science and technology artifacts held by the State Library of Louisiana, the Louisiana State Museum, and the Historic New Orleans Collection, and make them available via the web on the LOUISiana Digital Library. Accompanying standards-based instructional materials for K-12 teachers will be created and accessible via the LCET Making Connections website. The LOUISiana Gumbo project is sponsoring workshops in the 8 regional training centers throughout 2005.

Workshops are free and open to all K-12 educators. Workshop is scheduled in Region V on April 23, 2005.

Spell Check Tips
Spell check is one of the handiest tools in any application (especially for those we are spell-challenged.  You may not know that there are several other quick keys you can use in conjunction with spell check.  Here are some simple key strokes that you may find useful:
  • To start the spell check press F7
  • Alt+i = ignore once
  • Alt+g = ignore rule
  • Alta = add to Dictionary (useful for frequently used words not in the Dictionary)
  • Alt+c = Change to first suggestion in the list
  • Alt+l = Change all words spelt this way to the first suggestion in the list
  • Alt+r = Add to Autocorrect (the mistake will be automatically corrected when it occurs)
  • Alt+o = Options
  • Escape = Cancel
  • Alt+u = undo
  • Press TAB to move to the list of suggestions and down arrow to move down the list, then ALT+c to choose the word you want

Create Text Boxes in Word
People often use text boxes to highlight a specific part of their document. But when you want to use a text box, there's no need to retype the text. Follow these steps:
  • Copy the text you want to include in the text box to the location where you want to insert the text box.
  • Select the copied text and go to Insert | Text Box.

Word inserts a text box displayed with a crosshatch border and eight handles around the selected text, so you can resize or move it within the document. Any remaining document text automatically wraps around it. The selected text retains the format of the original. As with any text box, you can reformat the text by selecting it, right-clicking the selection, and choosing Font.

As agents for the fictional Fin, Fur and Feather Bureau of Investigation (FFFBI), students ages 8-13 are invited to participate in imaginative online missions designed to enhance their geographical knowledge and increase their understanding of foreign cultures.

Power Point Tip
Select objects hidden by other objects - Very often we layer objects on top of each other for some effect, such as when setting up a custom animation of more than one item. However, it can be a challenge if you have to edit one of the hidden objects when you've already set overlapping objects in place. You may have tried to move these overlapping objects in the past, and struggled to pile things back in place the way they were before. When an object is obscured by other items on the slide, you can still select it by using the [Tab] key. Just press [Tab] repeatedly and PowerPoint will cycle through every object, including text boxes and hidden objects, on the slide.

Microsoft Office Tip – Turning off the Task Pane
Task panes are extremely helpful in the latest Microsoft Office suite. However, you may not want the task pane to automatically open when you start up one a new document (sometimes is just gets in the way). To stop the Task Pane from starting automatically, click on Tools|Options in the menu bar. In the Options dialog, click on the "View" tab. Deselect "Startup Task Pane" checkbox location under the Show category. Click "OK".

Top Ten Viruses Found on CPSB Computers
Here are the top ten viruses found on CPSB computers in the past 7 days. The stats are based on 663 infected computers out of a total of 9568 OfficeScan clients.

The latest OfficeScan pattern as of 2-23-2005 is pattern 2.438.00. Please check your pattern by placing your cursor over the OfficeScan icon and viewing the pop-up window that appears. If your pattern is significantly LOWER than this (A HIGHER PATTERN NUMBER IS OK), please email tech.help@cpsb.org regarding this or any other question you have regarding OfficeScan.

The information shows the name of the virus, the number of infected files found, and the percentage of the virus from the total.  ALL school board employees need to ensure that their Dell, Compaq, HP, IBM or other PC classroom computers stay virus free. Go to the following link to download the district copy of OfficeScan: http://teacherlink.cpsb.org/officescan and your computer will automatically be updated daily to scan for the latest viruses. You must install the software using Internet Explorer 4.0 or later (Netscape will not work!!!!!) Please answer "Yes" to all prompts as the software installs.
